Define the Business Problem

Before you buy tools or hire developers, name the pain point, who it affects, and what a good outcome looks like.
Tools are not a strategy
Most AI projects fail because they start with "We should use ChatGPT" instead of "We lose customers because we reply to WhatsApp after 6 hours."
A clear business problem gives you a filter: every tool, vendor quote, and pilot must directly address that problem — or you skip it.
Write a one-page problem statement
Use this template — fill it in before evaluating any software:
- check_circleWho is affected? (e.g. front-desk staff, sales team, customers waiting on WhatsApp)
- check_circleWhat happens today? (manual steps, delays, errors, cost)
- check_circleWhat does "better" look like? (faster replies, fewer missed orders, less time on reports)
- check_circleHow often does this happen? (daily, weekly, per customer)
- check_circleWhat happens if we do nothing? (lost revenue, burnout, bad reviews)
Good vs vague problems

Involve the people doing the work
Ask staff where they waste time or make mistakes — not only managers. The person answering WhatsApp knows the real friction.
In a cafe, shop, or cooperative, 30 minutes of honest conversation beats weeks of guessing from the owner's desk.
Decide if AI is even the right answer
If the root cause is missing signage, broken Wi-Fi, or no published prices, AI won't fix it. Solve operational gaps first.
